This notice explains what happens to the details you give us when you use the calculator or apply for early access to myAthenaAI on this website.

Who we are

myAthena AI Ltd (company number 17355764), 4a Roman Road, London E3 6RX, United Kingdom. We are the controller of the personal data described here. Contact us about anything in this notice at hello@myathenaai.com.

What we collect

• Your application: your name, email address, mobile number, preferred way to be contacted, your clinic’s name, its Instagram handle or website if you give one, its country, size, your role, the booking system you use, where your enquiries come in, what you’d hand over first, when you’d want to start, how you heard about us and anything you write in the notes.
• Calculator answers: if you use the calculator and then apply, the numbers you entered and the estimate it produced are saved with your application. If you don’t apply, nothing you type into the calculator leaves your browser.
• How you found the page: the address of the page that linked you here, any campaign tags in the link (such as utm_source), any ad click reference in the link (such as Google’s gclid or Meta’s fbclid), whether you arrived from an AI assistant such as ChatGPT and, if another clinic shared the page with you, their referral code.

Why we use it, and on what basis

• To assess whether we can set your clinic up properly. Our lawful basis is our legitimate interest in deciding which clinics to install.
• To contact you about early access by phone, WhatsApp or email. Our lawful basis is your consent, which you give by ticking the box on the form. You can withdraw it at any time by emailing us.
• To understand which channels and campaigns bring applications in, so we know where to spend our time. Our lawful basis is our legitimate interest.

We don’t sell your personal information, and we don’t pass it to anyone for their own marketing.

Who processes it for us

• Netlify, Inc. hosts this website and stores form submissions. Netlify is based in the United States; transfers are covered by the safeguards in Netlify’s data processing agreement (the UK International Data Transfer Addendum and EU Standard Contractual Clauses).
• Google serves the fonts on this page, which means your browser shares your IP address with Google when the page loads.
• Only if you accept cookies: Google (Tag Manager, Analytics and Ads), Stape (which runs our server-side tag container in the UK), Meta, LinkedIn, TikTok, Microsoft Advertising and OpenAI (ChatGPT ads). See Cookies.

How long we keep it

We keep your application until early access ends, or for 12 months after we last spoke to you, whichever comes first. If you become a customer, your details move into your customer account and are covered by our customer terms instead. You can ask us to delete your application sooner at any time.

Cookies

Nothing that tracks you is set until you choose. When the page first loads you can accept all cookies, keep essential only, or choose. You can change your mind at any time with Cookie settings at the bottom of the page.

• Essential: a cookie and a browser note recording your choice (kept for a year), and a note for the length of your visit so the waitlist offer doesn’t appear twice.
• Analytics (only if you allow it): Google Analytics, to count visits and see how people use the calculator and the application form. Our lawful basis is your consent.
• Marketing (only if you allow it): Google Ads, Meta, LinkedIn, TikTok, Microsoft Advertising and OpenAI’s ChatGPT ads, to tell which ads lead to applications. If you allow marketing cookies and then apply, we send these platforms a scrambled (SHA-256 hashed) copy of your email address and phone number so they can match the application to an ad. They can’t read your details from it, and they may only use it to measure ads. Our lawful basis is your consent.

Some of these tags run through our own server container, so cookies are set by this website rather than by the ad platforms directly.

Your rights

You can ask us for a copy of the information we hold about you, ask us to correct or delete it, object to how we use it, ask us to restrict it, or ask for it in a portable format. Email hello@myathenaai.com and we’ll respond within one month.

If you’re in the UK and unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk. We’d appreciate the chance to put it right first.

If you’re in the United States, you have the same right to ask what we hold and to have it deleted, whichever state you live in.

Changes

If we change this notice, we’ll update the date at the top of this page.
